Selling Online and at the Counter (2026): How Malaysian F&B Businesses Connect POS, GrabFood, Shopee, Lazada and Accounting

If your café, bakery or food brand sells at the counter and online, your sales probably sit in three or four places that don't talk to each other. Dine-in and takeaway orders are in the POS, GrabFood and Foodpanda orders are in their merchant portals, and Shopee, Lazada or website orders are in each seller centre. Each channel pays out on its own schedule, after its own fees. The fix is not one app that does everything. It is connecting every channel to one accounting system. With Popcorn POS, counter, QR and GrabFood or Foodpanda orders arrive in the same till and post to Million Accounting or AutoCount. Rockbell, the company behind Popcorn, brings Shopee, Lazada, Shopify, WooCommerce and other online orders into the same Million or AutoCount books through its e-commerce tools. This guide shows which tool handles which channel, where they meet, what to settle about stock, and a checklist to finish before 11.11, 12.12 and Chinese New Year.

Who this guide is for

This guide is for F&B businesses that sell food at an outlet and also sell products online, for example:

  • bakeries and dessert shops selling cookies, cakes or festive hampers on Shopee or their own website;
  • cafés and roasters selling coffee beans, drip bags or merchandise online;
  • restaurants and central kitchens selling frozen food, sauces, pastes or ready-to-cook packs;
  • kopitiam and heritage brands selling packaged kaya, biscuits or coffee powder;
  • seasonal sellers who run a bazaar stall and an online shop at the same time (see our guide to POS for seasonal and festive stalls).

If you only sell at the counter and on delivery apps, you can skip the online-store sections. Popcorn POS on its own covers those channels.

Why selling online splits your sales records

Each channel records a sale in its own place and pays you in its own way.

ChannelWhere the order arrivesHow the money arrivesWhat usually goes wrong
Counter, dine-in and takeawayYour POSCash, card or e-wallet at the tillRarely a problem when the POS is set up properly
QR self-ordering at the tableYour POS, if the QR menu is part of itAt the till or by online paymentOrders keyed in twice when the QR menu is a separate system
GrabFood and FoodpandaA merchant tablet, or the POS if it is integratedA payout from the platform after commissionExtra tablets on the counter, orders re-keyed, menus out of sync
Shopee, Lazada and other marketplacesThe seller centreA payout after commission, fees, vouchers and returnsPayouts booked as sales, fees missed, stock oversold during campaigns
Your own webstore (Shopify, WooCommerce, Wix)The webstore adminPayment gateway settlementOrders exported to spreadsheets and keyed into the accounts by hand

At month-end that means four or five reports, as many payout schedules, and a bookkeeper rebuilding total sales by hand. The most expensive mistake is recording platform payouts as revenue. A payout is your sale minus commission, fees, vouchers and refunds, so booking only the payout understates both your sales and your costs, and hides which channel is actually profitable.

Which tool handles which channel

The practical setup splits the work between the POS and an e-commerce connector, with your accounting system as the meeting point.

One thing to know up front: Popcorn POS does not connect to Shopee or Lazada directly, and ShopeeFood is not integrated yet. The marketplace and webstore side is handled by Rockbell's e-commerce tools, and the two sides meet in your accounting system.

The counter and delivery side: Popcorn POS

Popcorn POS is built by Rockbell Software for Malaysian cafés and restaurants. For a business that also sells online, these are the parts that matter.

  • One till for counter and QR orders. The Cashier app takes every order and payment. With the QR e-menu (Basic plan and above), customers scan and order from their phones, and the order lands in the same till.
  • GrabFood and Foodpanda orders inside the POS. On the Advance plan you can choose the GrabFood and Foodpanda integration as your one included integration, and the Ultimate plan includes it together with the FIUU payment gateway and in-app membership. Delivery orders then go straight into the POS instead of onto a separate tablet.
  • Recipe-level inventory. From the Basic plan, inventory tracks every ingredient from raw material to shelf, which helps when the same kitchen produces dine-in food and packed products.
  • An accounting link on every plan. Popcorn connects to Million Accounting and to AutoCount, explained below.
  • Multi-outlet and offline. Every plan includes multi-outlet management, and the till keeps working without internet, then syncs when the connection is back.

Pricing starts from RM35 for a single month on the Lite plan (RM350 a year). Basic is RM90 a month, Advance RM102.50 and Ultimate RM115, billed annually, with no lock-in. Our POS cost guide breaks down hardware and add-ons.

The online side: Rockbell's e-commerce tools

Rockbell, the company behind Popcorn POS, has two ways to bring online orders into your books.

AutoCount OneSales Marketplace (Shopee and Lazada)

  • Downloads Shopee and Lazada order details into OneSales.
  • Syncs stock in either direction, and updates stock automatically when a refund is made.
  • Handles picking, delivery and invoices in one flow, and shows the charge breakdown for every order, so you see each fee the platform deducted.
  • Posts sales and marketplace accounts to AutoCount automatically after shipment.
  • Plans are tiered by monthly order volume and number of marketplace stores, and Rockbell lists a free trial of up to three months.

Details are on Rockbell's page for AutoCount OneSales Marketplace.

Rockbell E-Commerce Integration (more platforms, Million or AutoCount)

Rockbell describes this as a customised sales consolidator. It brings sales from platforms such as Shopee, Lazada, Shopify, WooCommerce and Wix into Million Accounting or AutoCount, so online orders are not re-keyed by hand. It suits businesses that run their own webstore as well as marketplaces, or that keep their books in Million rather than AutoCount. Because it is customised, the scope and price are quoted for each business. Details are on Rockbell's page for E-Commerce Integration with Million and AutoCount.

Where everything meets: one set of books in Million or AutoCount

This is the step that turns several sales reports into one. Popcorn connects to the two accounting systems in different ways.

  • Million Accounting: Popcorn connects directly to Million's SQL Server database. You choose the export period (each transaction, daily or monthly), map payment types and sales categories to GL accounts, and post. Each export posts as double-entry and shows a SENT status once it is in. The server connection is set up once, usually by your IT person.
  • AutoCount: a plugin installed on the AutoCount side, with no router or firewall changes on your end.

The step-by-step is in our guide to multi-outlet POS and accounting integration.

Once your online sales post into the same company, set up the accounts so each channel stays readable:

  • separate sales accounts, or analysis codes, for each channel: counter, delivery apps, Shopee, Lazada and webstore;
  • gross sales recorded in full, with platform commission, transaction fees and vouchers booked as expenses rather than netted off;
  • a clearing account for each platform, so every payout can be matched to the orders it covers, and the clearing account comes back to zero once all payouts are matched;
  • refunds and returns matched to the original order, in the same channel.

With that in place, your monthly profit and loss shows which channel actually makes money after fees, not just which one sells the most. Agree the account structure with your accountant before the first online order posts.

Stock: the question to settle before a big campaign

Overselling is the complaint online shoppers remember, and the risk rises when the same products sell at the counter and online. Decide how your stock is split before the campaign, not during it.

  • Kitchen ingredients stay in Popcorn. Popcorn's recipe inventory deducts ingredients as dishes are sold at the outlet.
  • Packed online products need a clear home. With OneSales, marketplace stock syncs with AutoCount. A simple approach is to keep packed retail goods in their own stock location, such as an "online" store or warehouse, so marketplace orders don't eat into what is on the shelf at the outlet.
  • Allocate campaign stock up front. Set aside a fixed quantity for each marketplace campaign and top it up once a day, rather than letting every channel draw from one pool.
  • Ask before you assume a live link. If you sell the same item at the counter and online and want one stock figure for both, talk to our team about how Popcorn and your e-commerce tool should be set up for your products. The right answer depends on your volume and on which accounting system you use.

Checklist before 11.11, 12.12 and Chinese New Year

Shopee and Lazada run their biggest campaigns on 11 November and 12 December, and Chinese New Year 2027 falls on 6 February, so festive cookie and hamper orders start well before that. Work through this list a few weeks ahead.

  1. List every channel you sell through, and who checks each one every day.
  2. Connect GrabFood and Foodpanda to the POS so delivery orders are not keyed in by hand.
  3. Make sure items and prices match across the POS, the delivery apps and your online listings.
  4. Connect Shopee, Lazada and your webstore to your accounting system before the campaign starts, not after.
  5. Set up separate sales and fee accounts for each channel, and a clearing account for each platform.
  6. Allocate campaign stock to each marketplace and decide who tops it up.
  7. Put a test order through each channel and check that it reaches the books correctly.
  8. Reconcile payouts weekly during the campaign period, not only at month-end.
  9. After the campaign, compare each channel's profit after fees, not only its sales.

A note on e-invoicing when you sell online

LHDN's e-Invoice Guideline version 4.8 (30 August 2026) raised the exemption threshold from RM1 million to RM3 million in annual turnover (VATupdate). The threshold is based on your business's total annual turnover, so online sales count alongside counter and delivery sales. A café that is well under RM3 million at the counter can move closer once an online channel takes off, so keep an eye on the combined figure. Popcorn POS includes Malaysia e-Invoice on every plan, and our comparison of MyInvois e-POS and Popcorn POS covers LHDN's free option.

Frequently Asked Questions

Does Popcorn POS connect directly to Shopee or Lazada?

No. Popcorn POS integrates with GrabFood and Foodpanda, not with Shopee or Lazada. Marketplace orders are handled by AutoCount OneSales Marketplace or Rockbell E-Commerce Integration, and they meet your Popcorn sales in Million Accounting or AutoCount.

Can GrabFood and Foodpanda orders go straight into Popcorn POS?

Yes. On the Advance plan you can choose the GrabFood and Foodpanda integration as your one included integration, and the Ultimate plan includes it. Orders then arrive in the POS instead of on a separate tablet. ShopeeFood is not integrated yet.

Which accounting software does Popcorn POS connect to?

Million Accounting and AutoCount. Popcorn connects directly to Million's SQL Server database, with exports by transaction, by day or by month. AutoCount uses a plugin installed on the AutoCount side, with no router or firewall changes needed.

Do I need accounting software to use Popcorn POS?

No. Popcorn POS runs on its own, with reports and multi-outlet management on every plan. You need an accounting system such as Million or AutoCount when you want counter, delivery and online sales in one set of books.

How should I record Shopee and Lazada payouts in my accounts?

Record the full sale as revenue and the platform's commission, fees and vouchers as expenses, rather than booking only the payout. A clearing account for each platform lets you match every payout to the orders it covers. Agree the setup with your accountant.

How much do Popcorn POS and Rockbell's e-commerce tools cost?

Popcorn POS starts from RM35 for a single month on the Lite plan, with Basic at RM90 a month, Advance at RM102.50 and Ultimate at RM115, billed annually. AutoCount OneSales Marketplace plans are tiered by monthly orders and stores, with a free trial of up to three months listed on Rockbell's site. Rockbell E-Commerce Integration is customised and quoted for each business.

Do online sales count towards the RM3 million e-invoice threshold?

The threshold in LHDN's e-Invoice Guideline version 4.8 is based on your business's total annual turnover, so online sales count together with counter and delivery sales. Businesses below RM3 million are exempt unless they belong to a group at or above it, and any business may join voluntarily.
