POS Consultant in Malaysia (2026): How Rockbell Connects Your POS, Accounting, Payroll and e-Invoice Into One Business System

Short answer: a POS consultant does more than sell you a cash register. It looks at how a sale moves through your whole business: from the counter or the online shop, into stock, into your accounts, into payroll, into your SST and e-Invoice records, and finally onto the owner's screen. Rockbell Software has worked this way with Malaysian and Singapore businesses for close to 30 years, with more than 30 technical consultants and over 40,000 clients.

What Rockbell covers: one partner for the whole business

What makes Rockbell different from a single-product POS vendor is the range it carries under one roof:

  • POS for F&B: Popcorn POS, Rockbell's own cloud POS for cafés, restaurants, bakeries, kiosks and pop-up stalls.
  • POS for retail: Million POS and AutoCount POS.
  • Accounting and stock: Million Accounting, Million Stock Control, AutoCount Accounting, AutoCount Cloud Accounting and the new AI-powered Jaz Cloud Accounting.
  • Payroll and HR: Million Payroll, Million HRMS and AutoCount Cloud Payroll.
  • Selling online: AutoCount OneSales Marketplace for Shopee and Lazada, plus a custom E-Commerce Integration for other platforms.
  • Compliance: SST-ready systems and e-Invoice support in Malaysia; GST and InvoiceNow in Singapore.
  • The owner's view: Edge by Popcorn for outlet sales, and Solomon BI, Rockbell's owners' website that links to Million or AutoCount.

You do not need all of it. Most businesses start with a POS and add the next piece when the paperwork starts to hurt. This guide shows how the pieces fit together, which combination suits which kind of business, and what to ask before you commit.

Why the POS is only the start

Every F&B or retail business does the same six jobs every day, whether it has one counter or ten outlets:

  1. Sell: take the order and the payment, at the counter, at the table, through GrabFood or on Shopee.
  2. Track stock: know what was used or sold, and what to reorder.
  3. Record: put the day's sales, purchases and payments into the books.
  4. Pay people: turn attendance, overtime and leave into a correct payslip with EPF, SOCSO, EIS and PCB.
  5. Report tax: charge SST correctly and issue e-Invoices where required.
  6. Check the numbers: know how the business is doing without waiting for month-end reports.

When each job sits in a different system from a different supplier, people fill the gaps. Someone types the daily sales summary into the accounting software. Someone counts stock on paper and adjusts the book figure at month end. Someone collects clock-in times from a WhatsApp group and keys them into payroll. Every hand-off is a chance for a typing mistake, and the mistakes surface later, when the accountant closes the month or a customer asks for an e-Invoice.

A connected setup removes those hand-offs. Sales post from the POS to accounting, stock moves when items are sold, attendance flows into payroll, and tax codes are set once. A consultant's job is to design those links for your business, and to be the one number you call when something does not line up.

Layer 1: the counter, for F&B and retail

F&B: Popcorn POS

Popcorn POS is built for food and beverage. The Cashier POS is the main app: it handles every order and payment, and the other apps connect to it. The Waiter App takes orders at the table, the Kitchen Display sends orders to the kitchen, the QR E-Menu lets customers order from their phones, and Edge by Popcorn gives the owner reports across outlets. It keeps selling when the internet drops.

Prices are published and billed annually:

  • Lite: RM350/year, or RM35 for a single month. Includes e-Invoice, GST/SST, multi-outlet management, multiple payment methods, the accounting link and mall integration.
  • Basic: RM1,080/year. Adds the QR E-Menu, inventory management and staff attendance tracking.
  • Advance: RM1,230/year. Adds one of: Fiuu payment gateway, GrabFood + Foodpanda delivery, or in-app membership.
  • Ultimate: RM1,380/year. Includes all three.

Add-ons: an extra Cashier is RM300/year, the Waiter App RM120/year and the Kitchen Display RM120/year. See the full pricing table and the feature videos.

Retail: Million POS or AutoCount POS

For shops, Rockbell carries two retail POS brands. The right one usually depends on the accounting software you already use, or plan to use.

  • Million POS runs on a Windows PC with a touch screen and comes with a lifetime licence. Every saved transaction posts in real time to Million Accounting and Million Stock Control, so sales and stock stay current without month-end imports.
  • AutoCount POS comes in Basic and Standard editions; Standard adds purchasing and stock control. Optional modules cover multi-location stock, Remote HQ, deposits, serial numbers and batches. It keeps running offline and syncs when the connection returns, outlet settings are pushed from HQ, it accepts e-wallets such as Touch 'n Go, Boost, Alipay and WeChat Pay, and the eDashboard app shows sales on your phone. Sales post into AutoCount Accounting.

Rule of thumb: already on Million Accounting, look at Million POS. Already on AutoCount Accounting, look at AutoCount POS. On neither, ask Rockbell to compare both against your product list. The Johor Bahru POS guide goes through this choice in more detail.

Layer 2: accounting and stock

This is where most of the time savings are. If your POS and your accounting software do not talk to each other, every day's sales have to be keyed in by hand, and outlets drift apart in how they record cash, card and e-wallet payments.

How Popcorn POS posts into your books

  • To Million Accounting: Popcorn connects directly to your own Million SQL Server database. You pick the outlet and date range, and sales, purchases and procurement post into your books mapped to your GL accounts, per transaction, per day or per month. The connection needs port forwarding, a fixed IP and firewall rules on your server, which is usually a job for your IT person; ask Rockbell to walk them through it.
  • To AutoCount: a plugin installed on the AutoCount side connects to Popcorn POS. No router or firewall changes are needed at your end.

Both links are included in your Popcorn plan; your Million or AutoCount licence is billed separately. The multi-outlet accounting integration guide shows a worked example of closing the month for a three-outlet chain.

The accounting choices

  • Million Accounting: a one-time licence with no yearly subscription, unlimited company files, and SST, GST and e-Invoicing ready. Add Million Stock Control for multi-location stock, bill of materials (turning raw materials into finished goods, useful for bakeries and central kitchens), serial numbers, batches and multiple units of measure. It links to both Million Accounting and Million POS.
  • AutoCount Accounting: five editions, from Account Plus (accounting only) up to Premium (advanced multi-UOM, item batches, serial numbers, assembly and more), plus plug-ins such as multi-currency.
  • AutoCount Cloud Accounting: runs online, so the owner, the bookkeeper and the outside accountant can work in the same books from anywhere. Five plans, from start-ups to multi-warehouse traders and accounting firms.
  • Jaz Cloud Accounting: Rockbell's newest option, cloud accounting built around AI. Drop in supplier bills and receipts as PDFs and Jaz itemises and categorises them, ready for you to approve. Bank reconciliation suggests matches, even when one payment covers several invoices or comes in another currency. It covers more than 170 currencies, gives real-time reports with drill-downs, and has mobile apps for snapping receipts and approving expenses.

Layer 3: payroll, attendance and HR

F&B and retail payroll is rarely simple: part-timers, shifts, overtime, public-holiday rates and staff spread across outlets. It is also about to change. Under Budget 2027, the minimum wage rises from RM1,700 to RM2,000 a month from June 2027. Micro, small and medium businesses with annual sales below RM50 million are exempt for now, and the exact rules will be set out in a new Minimum Wages Order. Whichever rate applies to you, your payroll system has to calculate it correctly and keep the records.

  • Million Payroll: keeps up with LHDN, EPF, SOCSO, EIS and HRDF rules, calculates overtime at your rates, and produces the yearly EA forms, Borang E and CP8D, CP39 submission files and the monthly HRDF listing. It has a lifetime licence (maintenance is optional) and handles multiple companies at no extra cost, which suits owners who run each outlet as a separate Sdn Bhd.
  • Million HRMS: the cloud side. Staff apply for leave and submit claims on their phones (Android and iOS), clock in and out with location tracking, and managers approve on the go. Lateness and overtime are worked out automatically, and the data syncs to Million Payroll. A facial-recognition or thumbprint machine can be added at the staff entrance.
  • AutoCount Cloud Payroll: cloud payroll covering PCB, EPF, SOCSO, EIS and HRDF, with payslips by email and app, and a link that posts payroll into AutoCount Accounting. The Premium plan, with e-Leave, e-Claim and e-Attendance, starts from RM44/month; the payroll-only Express plan starts from RM720/year (prices exclude SST and implementation).

Popcorn's Basic plan and above also track staff attendance at the POS. If you want those hours to reach payroll, raise it at the start and ask how it works in your setup.

Layer 4: delivery apps and online shops

  • Delivery apps, inside Popcorn: on the Advance plan (as your chosen integration) or on Ultimate, GrabFood and Foodpanda orders go straight into the POS. The kitchen sees them alongside counter orders, and the sales land in the same reports. ShopeeFood is not integrated yet.
  • Shopee and Lazada, with AutoCount OneSales Marketplace: downloads marketplace orders without logging into each seller centre, syncs stock both ways, and posts to your AutoCount sales and marketplace accounts after items ship. Plans are sized by monthly orders (1,000 to 10,000) and number of stores (2 to 5), with a free trial of up to three months.
  • Other platforms, with Rockbell E-Commerce Integration: a customised sales consolidator that brings platforms such as Shopify, WooCommerce, Wix, Shopee, Lazada and Qoo10 into Million or AutoCount. It is quoted per project.

Popcorn POS itself does not connect to Shopee or Lazada; the counter and the online shop meet in your accounting system. If you sell cookies, frozen food or sauces online as well as at the counter, the selling online and at the counter guide walks through the setup.

Layer 5: SST, e-Invoice and cross-border tax

Tax is where disconnected systems cause the most expensive mistakes, because the same sale has to show the same tax in the POS, in the books and on the e-Invoice.

  • Popcorn POS includes GST/SST settings and e-Invoice on every plan, Lite included. Tax and service charge are set per outlet, and everyday walk-in sales can go to MyInvois as a consolidated e-Invoice.
  • Million and AutoCount support Malaysia's e-Invoicing system for invoices, credit notes, debit notes and refund notes, and both handle SST. AutoCount POS posts SST straight from the counter.
  • Who must issue e-Invoices, and from when, is set by LHDN and has changed more than once. Check the latest guideline on hasil.gov.my rather than an old article, or ask Rockbell where your business stands.
  • Singapore: through Rockbell Singapore, you get IRAS-compliant accounting with GST F5 returns from the books, InvoiceNow e-invoicing and CPF-ready payroll. Million Accounting is listed on IRAS's Accounting Software Register.
  • Indonesia: Rockbell has an office in Jakarta.

If you run outlets in more than one country, read SST, GST and Indonesian VAT explained. If you are weighing LHDN's free POS, read MyInvois e-POS vs Popcorn POS.

Layer 6: the owner's view with Solomon BI

Once sales, stock, payroll and tax all land in one accounting system, an owner should not have to wait for month-end reports, or call the accounts team, to know how the business is doing. Rockbell gives owners two views:

  • Edge by Popcorn: for F&B owners, sales and reports across outlets, straight from the POS.
  • Solomon BI: Rockbell's own owners' website. It links to your Million or AutoCount accounting system and captures the data you, as the owner, want to check at any moment, such as debtor aging (who owes you money, and for how long) and profit. Because it reads from your books, it shows the business as your accounts see it: every channel that posts into Million or AutoCount, not only the counter.

When you book a demo, ask to see Solomon BI as well, and tell us which numbers you check most often.

How working with Rockbell goes, step by step

  1. Talk through the whole business first. How many outlets and counters, what you sell, how many staff, which accounting software you or your accountant use, whether you sell on delivery apps or marketplaces, and whether you trade outside Malaysia. Bring your menu or product list.
  2. See it working. Book a demo of the parts that matter to you. Popcorn offers a free demo, and Rockbell offers demos and trials of its other systems.
  3. Get one written quotation. Ask for every piece on one quote: POS plan or licence, add-ons, accounting and payroll licences, hardware, setup and yearly maintenance. That way you can compare subscription and one-time costs side by side. Rockbell is an approved solution provider for several grant schemes, so ask which one, if any, applies to you today.
  4. Set up the links. Menu or product list, tax codes per outlet, GL mapping between the POS and the books, payroll rules. This step decides whether the ecosystem actually saves you time.
  5. Go live with support behind you. Popcorn and Rockbell both offer 24/7 support, Popcorn's technical consultants respond within one working day, and Rockbell has WhatsApp support lines, a knowledge base and demo videos. Rockbell has offices in Johor Bahru (Taman Perling), Puchong, Singapore and Jakarta.
  6. Grow without switching. Add an outlet, a Waiter App or Kitchen Display, an AutoCount module, HRMS, Solomon BI or a Singapore company on the same platforms, instead of starting again with a new vendor.

Questions worth asking any POS consultant

  • Do POS sales post into my accounting automatically, and at what level: each bill, a daily summary or a monthly total?
  • How do clock-in records reach payroll?
  • Who submits e-Invoices, the POS or the accounting system, and how are duplicates avoided?
  • Is there one number to call for every piece, or will I be chasing different vendors?
  • Which costs are one-time and which are yearly, and what happens to my data if I stop paying?

Frequently Asked Questions

What does a POS consultant do?

A POS consultant helps you choose, set up and support a POS together with the systems around it: accounting, stock, payroll, online sales and tax. Instead of selling one product, the consultant looks at how your sales data needs to flow through the business. Rockbell does this for F&B with Popcorn POS and for retail with Million POS and AutoCount POS.

Can Popcorn POS connect to Million Accounting and AutoCount?

Yes. Popcorn connects directly to your Million SQL Server database and posts sales, purchases and procurement mapped to your GL accounts, while AutoCount uses a plugin installed on the AutoCount side. Both links are included in your Popcorn plan; your Million or AutoCount licence is billed separately.

I run a retail shop, not a restaurant. Which Rockbell POS should I use?

Rockbell offers Million POS and AutoCount POS for retail. If you already use Million Accounting, Million POS posts every sale to it in real time; if you already use AutoCount Accounting, AutoCount POS is the natural fit. If you use neither, ask Rockbell to compare both against your product list.

Does Rockbell run payroll for me?

Rockbell supplies payroll and HR software (Million Payroll, Million HRMS and AutoCount Cloud Payroll) that your own team or your accountant runs. The software works out statutory contributions such as EPF, SOCSO and EIS and produces year-end forms such as the EA form. Ask Rockbell which option suits your staff numbers and your accounting software.

Do I have to buy the whole ecosystem at once?

No. Most businesses start with a POS and add the accounting link, payroll or online-sales tools later. Popcorn POS starts from RM350 a year on the Lite plan, and you can move up a plan or add the Waiter App and Kitchen Display when you need them.

Are Rockbell's systems ready for LHDN e-Invoice?

Popcorn POS includes e-Invoice on every plan, and Million and AutoCount support Malaysia's e-Invoicing system for invoices, credit notes, debit notes and refund notes. Whether your business must issue e-Invoices depends on LHDN's current rules, so check the latest guideline on hasil.gov.my or ask Rockbell.

Can Rockbell support a business with outlets in Malaysia and Singapore?

Yes. Rockbell has offices in Johor Bahru, Puchong, Singapore and Jakarta, and its Singapore team supplies GST-compliant accounting, InvoiceNow e-invoicing and CPF-ready payroll. Popcorn POS sets tax and service charge per outlet, so a Singapore outlet can charge GST while a Malaysian outlet charges SST.

What is Solomon BI?

Solomon BI is Rockbell's owners' website. It links to your Million or AutoCount accounting system and captures the data an owner wants to check at any moment, such as debtor aging and profit. Ask to see it during your demo and tell Rockbell which numbers you check most often.
